Exhibitions Coordinator  (temporary sickness replacement)

24 - 32 hours per week | Junior position | 3 – 6 months  | Amsterdam

This is a temporary position to cover sickness absence, for a period of approximately 3–6 months. Given the nature of the role, we are looking for someone who is available to start at short notice.

World Press Photo is an independent non-profit organization that champions the power of photojournalism and documentary photography to deepen understanding of the world’s complexities, promote dialogue, and inspire action. Founded in the Netherlands in 1955, our annual contest and thematic exhibitions reach millions of people in over 80 locations world-wide each year, and our online work reaches millions more.
We showcase compelling stories to create space for reflection in times of urgency. Amid a fast-changing media landscape influenced by censorship, misinformation, and threats to press freedom, we promote standards of accuracy, authenticity, visual excellence, and ensure diverse perspectives are represented. Our education programs support photographers in reaching these standards, and help the public explore the profound societal impact of photography.

The Exhibitions team consists of five colleagues who are responsible for the production and project management of approximately 80 exhibitions in more than 40 countries. The Exhibitions Coordinator is the backbone of the department and is responsible for the planning, logistics, and finances of the exhibitions. You ensure that all back-office processes run efficiently and effectively so that the exhibitions are executed within the planning and budget.

Tasks

  • In collaboration with our logistics partner, you coordinate the worldwide transport of the exhibitions. You are the first point of contact for colleagues and the logistics partner.

  • You monitor the physical quality and manage the maintenance of the exhibition system.

  • You design and manage the exhibition planning for each new exhibition season and keep the associated travel planner up to date.

  • You coordinate and manage the financial administration for the transport, travel, and exhibition materials and provide support for department-wide finances.

  • You are responsible for project management for approximately four (international) locations. You take care of the preparation, installation, and opening of the exhibition on location.

  • You coordinate reorders of damaged exhibition materials, sometimes on demand, while remaining in close communication with colleagues or partners who are on location, as well as printers and the transport partner.  

  • You coordinate the translation and production of exhibition captions throughout the exhibition season, in collaboration with translators around the world. This includes maintenance of our online translation platform.

  • You coordinate with the production lead on the feasibility of the production process in relation to the Exhibition Planning. 

  • You are the first internal point of contact for colleagues within the department.

  • You supervise interns in various activities.


Job requirements 

  • Bachelor’s degree in humanities or social sciences;

  • 1-2 years of relevant work experience in project management, logistics, and planning, preferably in an international setting.

  • Creative, high-energy individual who thrives in a challenging and fast-paced environment;

  • Self-starting, well-organized, flexible and able to manage stress;

  • Team player with strong interpersonal and intercultural communication skills;

  • Fluency in both spoken and written Dutch and English;

  • Excellent command of MS Office and OS X (Apple Mac). Experience managing a CRM system, preferably Salesforce, is an advantage

  • Broad general knowledge, with knowledge of and an interest in media, photography and visual journalism;

  • Living in or close to Amsterdam.
